Plan on about 5 square metres per desk in a flexible office, rising to 8 to 10 square metres per person if you want your own meeting room, kitchen or room to grow. A conventional leased office is usually planned at 10 to 15 square metres per person once reception, meeting rooms and circulation space are included. In practice, flexible offices are chosen by desk count rather than floor area: a team of eight looks for an eight-desk office, and the operator has already planned the layout, furniture and shared space around it.

Flexible office space is any workspace let on a short agreement rather than a long lease, from a single coworking desk to a private office or a whole managed floor. You pay one monthly fee per desk, with the building, furniture, internet, outgoings and reception already in place, and terms usually run from one to twelve months. It suits businesses that want to move quickly, grow or shrink without penalty, and avoid the legal costs, fit-out and make-good obligations that come with a conventional lease.

Coworking is a desk in a shared open-plan space, either any free seat (a hot desk) or the same seat every day (a dedicated desk), and is the cheapest option. A serviced office is a private, lockable office inside a shared building, ready to move into, with reception, kitchens and meeting rooms shared with other companies. A managed office is a self-contained floor or suite fitted out to your specification and run by an operator, usually for teams of 20 or more on terms of two to three years.

Almost everything you would otherwise pay separately: rent, outgoings, utilities, fast internet, furniture, cleaning, security, staffed reception and shared kitchens and breakout space. Meeting rooms are normally included up to a monthly allowance and charged by the hour after that. Before signing, check printing, parking, after-hours access, IT support and the size of the security deposit, which is typically one to two months. Serviced offices and coworking are let on a licence or membership agreement rather than a lease, with terms from one month and twelve months the most common. Notice periods are usually one to three months, and the price is fixed for the term, so there are no rent reviews or variable outgoings. Managed offices run for two to three years. A conventional lease is typically three to five years or longer, with legal fees, fit-out and make-good costs on top.

Coworking desks and most serviced offices can be occupied within a few days of agreeing terms, because the space is already furnished and connected; a week or two is typical once the agreement and deposit are done. Managed offices take four to twelve weeks while the operator fits the space out.
